Senior Accountant

Ruby Ribbon is looking for an experienced Senior Accountant to support the Finance Director and VP of Finance. We are seeking a team player who can work well in a fast-paced, ever-changing environment.

Responsibilities include but are not limited to:

The Senior Accountant will have an active role in analyzing accounts, booking the close and supervising the staff accountant.

  • P&L, Balance Sheet and Cash Flow reporting – create and update financial statements every month. Review and analyze statements for any anomalies. Maintain detailed backup details. Follow-up with appropriate parties to insure posting into the correct chart of accounts
  • Accounts Payable - Insure all invoices are approved, accurately coded, entered, and paid in a timely matter. Follow-up with all department heads to insure all invoices have been approved on schedule. Check all new vendors to ensure W-9 on file before processing any checks. Keep A/P files organized and up to date. Follow up with vendors and employees with any discrepancies on invoices and/or expense reports.
  • Monthly Close & Maintain Schedules - Fixed Assets, Prepaid, Depreciation, Inventory valuation and others. Ensure all monthly journal entries are recorded properly
  • Credit Card Merchant Statements –Reconcile with sales orders, record discount charges, dispute any chargebacks and discrepancies.
  • Sales & Commissions – Using commission software, generate and reconcile monthly stylist commissions. Book monthly accruals into QuickBooks, manage ACH deposits of commissions. Ensure commissions are always issued on time and accurately.
  • Banking – Monitor accounts for sufficient funds. Make transfers as needed. Initiate wire transfers and follow up on approvals. Initiate ACH and follow up on missing account information. Reconcile monthly statements.
  • Taxes - Using Avalara Tax Software, register and file sales tax in all states with Nexus. Assist with Troubleshooting sales tax calculation issues on sales order system. Assist CPA with compilation of information for Federal & State Income Taxes.
  • Insurance – Manage Policy Renewals and Certificate request.
  • Payroll – Ensure an accurate and timely submission of payroll information. Maintain and update payroll records for approved changes. Maintain vacation, sick, and bonus accrual schedules.
  • Business License / Government Compliance – Manage applications for all business licenses and government compliance requirements.
  • 1099s - Issue annual 1099s. Maintain contractor agreement binders. Ensure receipt of W-9 before issuing any payments.
  • Inventory – Maintain inventory item list and update cost. Reconcile inventory with reports from order entry system and 3PL reports monthly.
  • Assist in preparing board presentations, financial presentations, analysis, and other projects requested by senior management.
  • Develop and implement policies and procedures with emphasis on internal controls.

Position Requirements

  • Bachelor’s degree in Accounting/Business/Finance with deep knowledge of GAAP.
  • Proven work experience in the Accounting function; start-up and retail (inventory) experience a huge plus.
  • Experience with supporting or leading a financial audit process strongly preferred.
  • Strong computer skills, especially Microsoft Office. Advanced proficiency in Excel required.
  • Ability to pick up responsibilities quickly and work with limited direction.
  • Strong organizational skills and superior attention to detail.
  • Exposure and proficiency with accounting software required; QuickBooks experience preferred.

Executive Assistant

We are seeking a “superhero” that is able to multi-task, keep our executives on track and manage travel arrangements. In this role you will be a part of a company that is changing lives and providing career flexibility.   • Greet all office visitors and provide professional hospitality.
  • Provide professional, responsive support to the CEO, EVP of Product Operations and VP of Finance (the “executives”).
  • Provide calendar management. Prioritizes meeting requests while troubleshooting conflicts with minimal oversight.
  • Keep executives on schedule with meetings and travel. Ensure daily agendas are printed and handed to the CEO the evening before.
  • This position will manage complex travel for the executives, and also travel for employees attending various corporate events. Become familiar with the specific, detailed needs of the executives; create consistent travel itinerary portfolios for their reference; and be available during travel times to quickly address any last minute changes or issues.
  • Accurately track expenses for CEO and executives by managing credit cards and receipts. Processes and submits receipts accurately and on schedule.
  • Support meeting preparation, which could include ordering lunch, booking conference rooms, setting up projector or video conferencing units.
  • Support the setting up of staff meetings, maintain staff calendars and help organize team events.
  • Answer and direct calls and emails of the CEO.
  • Act as a liaison with the landlord and support space planning and facilities.
  • Support VP of Finance on Human Resources, recruiting and on-boarding tasks as necessary.
  • Acts as a liaison with the Board of Directors as needed.

Ruby Ribbon, a unique direct sales fashion company, is looking for an experienced and passionate fashion marketer to amplify and drive the fashion voice of our business.

The role of Dir. of Fashion Marketing will report into the EVP of Product and Marketing and will heavily collaborate with the Creative Director and the Sr. Director of Fashion and Sr. Dir of Stylist Marketing and Events to create the following:

Weekly style communication in the form of blogs. social media posts as they relate to fashion and Ruby Ribbon, and styling emails to our reps. In addition, this role will be responsible for all external and internal product marketing around new releases; including 4 catalogs a year, PR, developing influencers and owning the product release communication to our reps. This role will drive all fashion promotional material including flash sales, Bogo’s, new product releases, styling emails. This role will develop styling guides, product videos and assets for the rep’s to use with the customers. As such this role will own and manage the digital assets of the business from photo shoot to product release to daily management of the asset library.

The right candidate will have fashion marketing experience including traditional and digital media. Will be connected to digital and traditional influencers in fashion. Will have a solid understanding on how to market to women ages 25-75 understanding when to categorize or generalize for the right result.

Director of Sales, Southwest Region

About the position:

Ruby Ribbon is seeking a key player of its corporate team to drive the growth of the base of independent stylists in the area of Texas and North.

The successful candidate will have had previous experience as a corporate employee of a direct sales company working directly to drive business results through the identification and development of the sales force. Major activities of this candidate include:

  • Delivering revenue, recruiting, activation and retention results through the development of talent at all levels within the stylist base. And can train on skillsets that affect these metrics.
  • Identifying and developing new Leaders, and working directly with leaders and Directors on the development of leaders under them.
  • Working with leaders to achieve year over year growth in their teams.
  • For leaders who are direct to company and stylists, acting as their Leader/Director.
  • Developing markets, driving growth in areas needed, devising and executing strategies for market penetration and planning events.
  • Driving in-field communications and acceptance of new programs and systems while driving the use of incentive promotions and the compensation plan.
  • Participating in corporate events: encouraging attendance from the region and taking an active role in the agenda of the meeting

Inventory Coordinator

Job Description

Your primary job responsibility is to manage and communicate daily inventory needs to the Product, Customer Service & Finance teams.


  • Run daily reports related to inventory, sales, shipments, short orders and receipts.
  • Manage Daily Product alerts, coordinating with customer service & the product team. Communicate when necessary on FB boards.
  • Track all POs, including inputting new POs to our internal PO tracker, and updating weekly changes.
  • Use internal software systems to update inventory availability.
  • Manage inventory levels of business supplies in the distribution center. Place reorders when necessary.
  • Manage the daily short orders report with the distribution center, communicating actions required on orders.
  • Manage back orders process, including tracking back orders in Excel and working with Customer Service to communicate information to Stylists.
  • Create SKUs and manage POs in Quickbooks.


  • You are comfortable in Excel (including advance functions like pivot tables) and using various reporting systems (Zen Desk, Quickbooks, internal back office system).
  • You have an undergraduate degree and have spent 2-3 years working in inventory management.
  • Having some accounting understanding is helpful, but not critical.
  • You are extraordinarily focused on the details - and while you work quickly, you do not work carelessly.

  • Thoroughly document issues and resolutions in Zendesk ticketing system.

New Stylist Support Coordinator

This position represents the first “voice” from Ruby Ribbon corporate. This person ensures that the new Stylist feels welcome and is secure in the knowledge that her questions will be answered.

Duties and Responsibilities

  • Welcome new Stylists
  • Encourage early activation of the new Stylist. Describe the process of scheduling the double launch and additional Trunk Show bookings.
  • Reply to questions from Stylists: be the point person for timely response to questions and problems getting the business started
  • Watch the reports to be sure the new Stylist is not missing deadlines.
  • Call to congratulation Stylists on “firsts.”
  • Provide recognition and encouragement during the first three full months.
